PartsFinder365 platform

The most effective sales tool and inventory optimisation platform

Maximise your spare parts sales and release the capital tied up in your inventory. Integration is straightforward: the platform fits into your existing systems without new hardware or software investments.

For management

Benefits of the PartsFinder365 system for management

Growing sales and trust

Offer your customers the right parts on the first try with up to 99.5% accuracy. The sales tool removes guesswork and speeds up closing deals.

Released capital

Precise data on actual demand prevents unnecessary inflation of inventory value and improves your company’s cash flow.

Cost-effective deployment

The service is designed to integrate with your existing infrastructure. You do not need new, expensive IT projects or investments to benefit from the data.

Data-driven range management

When sales and inventory are based on an accurate vehicle parc rather than imprecise generic typing, you avoid up to a 2–3× need for overstocking.

Features

Everything parts sales requires, in one platform

The platform works equally well on a desktop at the counter and on a phone in the parts warehouse.

Registration number and VIN search

Finnish, Swedish and Estonian registration numbers and VINs are recognised directly from the message. The vehicle is verified before the parts search.

Conversational AI

Search in your own words in three languages. The conversation remembers the context, notices when the vehicle changes and asks a clarifying question when something is unclear.

OE numbers and supersession chains

Original part numbers, supersession chains and the latest orderable version are always visible. The OE number is shown even when no aftermarket equivalent exists.

Real-time price and availability

Aftermarket equivalents from several suppliers with price, stock level and delivery time. Favourite brands and item order are up to the user.

Assembly diagrams and photo search

Pick a part directly from a hotspot in the assembly diagram, or identify it from a photo taken with the phone camera.

Service parts and service quotes

Service intervals and the parts needed for a service by mileage, labour times and fluids. A printable service quote is saved for the customer.

Cart and orders

Orders are split per supplier and each supplier’s status is shown in the confirmation. Delivery addresses, references and pair sales are handled automatically.

Returns management

Returnable purchases are found by OE number or supplier product code, with return period and terms visible.

Three languages and a personal dictionary

Finnish, Swedish and English. Users can define their own synonyms, and the system learns from corrections so the same misunderstanding does not repeat.

Security built in

Encrypted connections, multi-factor authentication (MFA), single sign-on (SSO) and company-specific access rights. Identifiers are never written to logs.

Integrations

Customers, products and delivery notes synchronise with your ERP (for example AutoFutur). Invoicing by Finvoice, Peppol or email invoice, or by card payment.

Demand data and reports

Every search tells which parts are really needed and for which vehicles. The range is planned according to the real vehicle parc, also regionally.

Comparison

Type-level catalogue or VIN-exact platform?

A traditional parts catalogue identifies the car at type level and lists all variants of the type. PartsFinder365 starts from the individual vehicle’s VIN and the OE catalogue.

Traditional cataloguePartsFinder365
Vehicle identificationType level: model, engine, yearsVIN-exact: this car’s equipment and OE positions
Variants narrowed by vehicle equipment data (brake size, damping, lights)noyes

Price and availability from several suppliers in one viewnoyes
Conversational search in Finnish, Swedish and Englishnoyes
Asks instead of guessing when something is ambiguousnoyes
Demand data from the real vehicle parc for range planningnoyes

When the vehicle data does not provide a decisive signal for choosing a variant, PartsFinder365 shows the options with their criteria and marks the situation as ambiguous. It never picks the most likely option on the user’s behalf.

Margin and turnover

Smart data protects margins and turnover

Avoid uncontrolled inflation of inventory value.

Every spare parts wholesaler and retailer has the basic parts on their shelves, but true profitability is measured by what else is kept in stock. The traditional model based on generic typing forces the spare parts dealer to keep two to three times as many items in stock to ensure availability. This ties up capital that could be producing returns elsewhere.
PartsFinder365 turns the setup around: it is a sales aid that collects data on demand and mirrors it against a digital copy of the vehicle parc. This way you know exactly which parts move and what you should offer. When every search is anchored to the vehicle’s exact type approval and the correct OE numbers, purchasing and stocking decisions can be based on real demand instead of guesswork.

Deployment

Frequently asked questions about the platform and deployment

How quickly can PartsFinder365 be deployed?

The platform is a cloud service, so user accounts can be created as soon as the agreement is signed. Integration with your ERP and with supplier price and availability data is agreed at the start of the project; basic functions are typically in use within a few weeks.

Which data sources does the platform use?

Official vehicle registers for vehicle identification, manufacturer-specific parts catalogues for exact compatibility, and several aftermarket suppliers for price and availability. The user does not need to know where the data comes from: the system picks the best available sources based on the vehicle and the part.

Can the platform be offered to our own customers under our brand?

Yes. A distributor can offer PartsFinder365 to its own workshop customers, who search and order parts from the distributor’s stock. Pricing, margins and delivery terms are defined per customer.

How is security handled?

All customer and vehicle data is processed over encrypted connections, and identifiers or keys are never stored in logs or shown to users. Multi-factor authentication and single sign-on are available for login. Every change to the system goes through its own review before release.

How does the platform learn?

When a user corrects a suggestion in their own words, PartsFinder365 recognises the correction and stores the learned mapping in the user’s own vocabulary. Next time, the same colloquial expression maps straight to the correct technical term.
